Subject: Your furnace is due for its fall tune-up
Hi Dana. It's been about ten months since your last furnace service. Fall slots fill up fast, so we'd love to get you on the books before the cold sets in…
The leak
Repeat revenue leaks when follow-up lives in memory.
Most service businesses don't lose customers to competitors. They lose them to silence: the follow-up that never got sent.
Service dates are scattered across paper notes, personal calendars, and old email threads.
Staff forget who is due for maintenance. There's no single list anyone owns.
Renewal reminders go out late or not at all, so contracts quietly lapse.
Past customers only return when they remember, and someone else's ad usually gets there first.
Nobody owns the reminder loop, so the easiest revenue in the business walks out the door.
What you get
A simple list of who needs a reminder next.
No fields nobody updates. No pipeline stages. Just the loop that brings customers back.
Knows every customer
Tracks each customer and their last service date, so the history lives in one place, not in someone's head.
Flags what's due
Maintenance, renewal, recall, or rebooking: every due date gets flagged before it slips past.
Drafts the reminder
A personalized reminder email is drafted for each customer, ready for your team to review and send.
Tracks the follow-up
Sent, booked, snoozed: every customer has a status, so nobody falls through the cracks.
The reminder flow
Set the interval once. Duebook watches the calendar.
Add your customers
Add or import customer records with their last service dates. A spreadsheet is all you need to start.
Set the interval
Six-month oil change, annual furnace service, nine-month hygiene recall: set the cycle for each service type.
See who's due
Duebook shows customers due now or coming due soon, sorted so the most overdue are on top.
Review and send
Your team reads the drafted reminder, tweaks it if they want, and sends. Nothing goes out without a person saying so.
The due list
Open it in the morning. Know exactly who to contact.
One screen for the front desk: who's due, why they're due, and the email that's ready to go.
Customers vanish after the job. Renewal dates get missed. Maintenance follow-up depends on whoever remembers.
Every customer has a next due date, a reminder status, and a ready-to-send email when it's time to come back.

Questions
The things owners ask first.
Can we import our existing customers?
Yes. Bring in a spreadsheet export from your current system (names, contact details, last service dates) and Duebook builds the due list from it. You can export everything back out at any time.
Can we set different reminder intervals by service type?
Yes. Each service type gets its own cycle: a six-month oil change and an annual inspection can live on the same customer with separate due dates.
Does it send emails automatically?
No, and that's on purpose. Duebook drafts the reminder; your team reviews it and hits send. Nothing goes to a customer without a person approving it.
Can staff review reminders before sending?
Always. Every reminder starts as a draft. Staff can edit the wording, snooze it, or skip it entirely. The due list tracks what's been reviewed and what's still waiting.
Can it track renewals and maintenance due dates?
Yes: both. Renewals track contract or membership end dates; maintenance tracks intervals from the last service. Each shows up in the same due list with its own reason.
Does it replace our CRM?
It doesn't try to. Duebook does one job: it tells you who is due, why they're due, and what reminder to send. If you already run a CRM, Duebook sits beside it and owns the reminder loop.
