MILLWRIGHT · CUSTOM SYSTEMS STUDIO

Custom apps, workflows, and AI agents built around your business.

We turn repetitive work into custom software systems that capture data, move tasks, draft responses, update records, and keep your team out of manual busywork.

The problem

Your business is held together by tabs, spreadsheets, and memory.

Most teams don't have a software problem. They have a "nothing talks to anything" problem, and people are the glue.

Staff copy data between tools by hand. The same customer detail gets typed into three systems, and one of them is always out of date.

Requests arrive in too many places. Email, phone, DMs, forms, walk-ins, and someone has to notice each one.

Follow-up depends on someone remembering. When they're busy or away, things quietly fall through.

Reporting takes hours. The numbers exist, but they're scattered across exports, inboxes, and someone's personal spreadsheet.

Off-the-shelf software never matches the real process. So the team works around it: back into spreadsheets, back into memory.

The outcome

Software that fits the way your team actually works.

We don't sell a platform. We build the specific system your process needs, then connect it to the tools you already use.

Custom internal apps

Purpose-built screens for your workflow (intake, scheduling, tracking) instead of forcing your process into someone else's product.

Automated handoffs

When something happens in one tool, the next step starts in another, no copying, no "did you see my email?"

AI agents on the busywork

Agents that draft, summarize, classify, and route work: always producing a first pass for a human to approve, not acting unsupervised.

Dashboards that show what matters

One view of what's open, what's stuck, and what needs a person today: instead of a Monday-morning spreadsheet ritual.

How it works

From messy process to running system.

01
Map

Map the process and find the manual bottlenecks

We walk through how work actually moves through your business (not the official version, the real one) and mark every point where a person is doing something a system should.

02
Design

Design a simple custom app, workflow, or agent system

You get a plain-English plan of what we'll build and what it will do for your team. Simple wins: the goal is the smallest system that removes the most busywork.

03
Build

Build and connect it to the tools you already use

We build the system and wire it into your existing email, calendar, forms, and records where integrations are available, so nobody has to change how they work overnight.

04
Tune

Train the team and improve the workflow after real use

We hand it over with a walkthrough, watch how it performs in the first weeks of real work, and adjust. Systems get better after contact with reality. We plan for that.

What we build

Pick a bottleneck. We've probably built the fix.

BUILD / PORTAL

Custom client portals

One place where clients submit, track, and approve: instead of email threads.

BUILD / INTAKE

Lead intake systems

Every inquiry captured, qualified, and answered: from every channel.

BUILD / DASH

Internal dashboards

Live views of jobs, pipeline, and blockers pulled from your real data.

BUILD / COMMS

Automated email & SMS workflows

Reminders, confirmations, and follow-ups that send themselves on schedule.

AGENT / SUPPORT

AI support assistants

First-pass answers drafted from your own docs, reviewed by your team.

AGENT / RESEARCH

AI research & reporting agents

Raw data in, readable weekly summaries out: on a schedule you set.

BUILD / DOCS

Document & proposal generators

Form answers become formatted quotes, contracts, and reports in minutes.

BUILD / OPS

Ops trackers & approval flows

Requests move through defined stages with the right person notified at each one.

The shift

Same team. Different machinery.

Before

Work lives across inboxes, spreadsheets, notes, and Slack.

The team spends hours moving information around, and nobody is fully sure what's outstanding.

  • Requests scattered across five channels
  • Status lives in someone's head
  • Every report is a manual assembly job
After

Requests enter one system, tasks route automatically.

AI drafts the first pass, a person approves it, and the team sees exactly what needs action today.

  • One intake, one source of truth
  • Handoffs happen without reminders
  • Status and reporting are live, not assembled

RUN 0118

AI agent that summarizes calls and creates follow-up tasks

Call notes become a clean summary, and every commitment made on the call becomes an assigned task.

RUN 0112

Renewal workflow that reminds customers and updates status

Upcoming renewals trigger timed reminders, and records update automatically as customers respond.

RUN 0121

Reporting workflow that turns raw data into weekly summaries

Exports and records roll up into a readable weekly summary, delivered before anyone has to ask for it.

What's included

One engagement, end to end.

Every build is done-for-you. You bring the process; we bring the system, the setup, and the handoff.

Workflow audit: a mapped view of how work moves today and where it stalls
Custom app or automation build: the system itself, built for your process
AI agent setup where useful: only where it genuinely removes work
Database or dashboard views. Your data, organized and visible
Email / SMS / template automation: messages that send themselves
Tool integrations when available: connected to what you already use
Team handoff and walkthrough. Your team runs it without us
Post-launch improvement pass: tuned after real-world use

Stop forcing your business into generic software.

Tell us how the work actually happens. We'll show you the system that should be doing it.

Bring one messy workflow. We'll show you what can be automated, built, or simplified.

FAQ

Sensible questions, straight answers.

Do we need technical knowledge?+
No. You need to know your own process. That's it. We handle the technical side, and everything we hand over is built so a non-technical team can run it day to day.
Can this connect to our existing tools?+
Usually, yes. Most modern tools (email, calendars, forms, spreadsheets, CRMs, accounting software) offer integrations we can build against. During the workflow audit we confirm exactly what your tools support before we commit to a design.
Do you build custom apps or only automations?+
Both. Some problems are solved by connecting the tools you already have; others need a small custom app with its own screens and database. We recommend whichever is simpler to run, not whichever is bigger to build.
Can AI agents review and draft work before humans approve it?+
Yes, and that's our default design. Agents draft replies, summaries, and classifications as a first pass, and a person approves before anything is sent or finalized. Nothing customer-facing goes out without human sign-off unless you explicitly choose otherwise.
How long does a typical build take?+
It depends on scope, which is why we start with the audit. A focused automation is typically a matter of weeks; a custom app with several connected workflows takes longer. After the audit you get a concrete timeline for your specific build. We don't quote before we've seen the process.
What should we automate first?+
The task that is frequent, repetitive, and rule-based: the one someone does every day while thinking "a machine should do this." That's usually intake, follow-up, or reporting. Bring it to the discovery call and we'll map it together.
